What Mentor Radio keeps about the people who use it and the calls it carries, why, and for how long. Plainly: the public site keeps almost nothing, and the telephone service keeps a record of each call.
This is a template, not legal advice.
Who is responsible
[Operator’s legal name], of [address] (“we”), operates this installation of Mentor Radio and decides what it keeps. Questions about anything on this page go to [contact email].
If your organisation connects a phone system to this service, the people who use your phones are your users, not ours: telling them that calls to a station are carried by us is for you to do.
When you visit this site
You can read the site, search the stations and listen to them without an account and without telling us who you are.
Our servers log each request (address, time, the page asked for) for [30 days], to keep the service running and to see off abuse. When you play a station, the audio comes from our own servers, so the station’s broadcaster does not see you. A station’s logo is different: your browser fetches it from the broadcaster’s own website, which therefore sees your address as it would if you visited it.
When you send an enquiry
The enquiry form asks for your name, your email address and a message, and optionally your organisation, a phone number and the phone system you run. We use them to reply and to set up a connection if you ask for one, on the basis that you asked us to. We keep enquiries for [12 months] after the last exchange, then delete them. We do not add you to a mailing list.
When a phone system calls a station
For each call we keep a record: which trunk it came in on, the caller’s number as your phone system presented it, the number dialled, the station, the codec, when it started and ended, and why it ended. While a call is in progress the operator can see it and can end it. We use these records to run and repair the service, to enforce limits, and [to bill, where a charge applies]. They are kept for [90 days].
Callers hear a station and are not heard: the platform does not listen to, or keep, anything a caller says.
Recordings
Recording is off unless we switch it on for a particular station’s queue. When it is on, what is kept is what that queue’s callers heard, which is the broadcast itself, together with the call record above. Recordings are kept for [period] and are available only to the operator’s staff.
Keeping a recording of a broadcast can itself need permission from the broadcaster or a collecting society; see the terms.
Your rights
You can ask us for a copy of what we hold about you, to correct it, or to delete it, and you can object to how we use it. Write to [contact email]; we answer within [one month]. If you are not satisfied with the answer you can complain to [the data protection authority that applies to the operator].
Changes to this notice
If what the service keeps changes, this page changes first, and its date with it.
